Windows has four screenshot tools that people mix up. One copies to the clipboard. One opens an editor. One dumps a file on the desktop. One records as well as captures. Use the right one and you stop pasting a black rectangle into email.
What you need
- A Windows 10 or 11 keyboard. On a laptop, Print Screen may be shared with a function key.
- Somewhere to paste (Word, chat, Paint) if you use the clipboard methods
In this guide
1. Win + Shift + S — the one you want most days
Hold Win + Shift + S. The screen dims and a small bar appears at the top: rectangle, freeform, window, full screen.
Drag a rectangle around what you need. The image goes to the clipboard. A notification pops up; click it if you want to annotate or save a file. Otherwise paste with Ctrl + V into chat or a document.
This is the method to teach someone. It does not grab a second monitor you did not want and it does not create a PNG you have to hunt for.
2. Open Snipping Tool on purpose
Search Snipping Tool. New → choose the mode. After the capture you can draw, crop, and Save as PNG or JPEG. On current Windows 11 you can also record a short clip from the same app — see the screen recording guide.
Set a delay (3 or 10 seconds) when you need to open a menu that disappears as soon as you press a shortcut.
3. Print Screen and Win + Print Screen
PrtSc copies the entire screen (all monitors) to the clipboard. No file is saved. Paste to see it.
Win + PrtSc saves a PNG automatically. Look in Pictures → Screenshots. Use this when you need a file, not a paste.
Alt + PrtSc copies only the active window. Handy for a single dialog box.
On Windows 11 you can send Print Screen straight to Snipping Tool: Settings → Accessibility → Keyboard → Use the Print screen key to open screen capture. Turn that on if you keep hitting PrtSc and wondering why nothing “happened” (it copied silently).
4. Game Bar for a window that will not snip
Some full-screen games and video players go black in Snipping Tool. Press Win + G to open Xbox Game Bar, then the camera icon, or Win + Alt + PrtSc. Files land in Videos → Captures.
If Game Bar will not open, Settings → Gaming → Xbox Game Bar, turn it on.
5. Laptop function-key problems
Many laptops print “PrtSc” on the same key as another function. You may need Fn + PrtSc, or an Fn-lock key. If Win + Shift + S does nothing, the shortcut was remapped — check the manufacturer’s keyboard utility, or use Snipping Tool from the Start menu instead of fighting the key.
Where did the file go? Clipboard methods do not create a file. Win + PrtSc goes to Pictures\Screenshots. Game Bar goes to Videos\Captures. Search File Explorer for *.png sorted by Date modified if you are lost.
Common questions
Where do Win + PrtSc files go?
Pictures → Screenshots as PNG files. Clipboard-only shortcuts (Win + Shift + S, PrtSc) do not create a file until you paste and save.
Why is my game screenshot black?
Some full-screen apps block Snipping Tool. Use Xbox Game Bar (Win + G) or Win + Alt + PrtSc instead.
Print Screen does nothing on my laptop.
It may need Fn + PrtSc, or Windows 11 is set to open Snipping Tool instead. You can change that under Settings → Accessibility → Keyboard.
